What information we collect

Most of Drakelow Hub can be used without giving us personal information. We collect information when you choose to use the following features:

• Weekly email and optional bin reminders: your email address, confirmation status and signup dates. If you choose bin reminders, we also keep the council area and an anonymous collection-cycle code so reminders can be matched to the correct schedule. We do not keep the postcode, address or UPRN used to identify that cycle.
• Bin reminder delivery records: the scheduled collection date, bin types, send status, attempt times and email-provider message reference, used to prevent duplicates and diagnose delivery issues. These records do not contain your postcode, address or property reference.
• Bin collection lookup: a postcode and the address you choose are sent to South Derbyshire District Council's live lookup only to retrieve the collection schedule. Drakelow Hub does not save the postcode, address or property reference when you use the lookup.
• Event submissions: your name or organisation, private contact email and the event information you submit.
• Business listings: your private contact email and any business details, links, phone number or photograph you choose to submit.
• Contact with us: the information contained in your email or other message.
• Site measurement: aggregate counts of page views and a small number of actions such as newsletter requests, event submissions, business submissions and outbound-link categories. These counts do not contain a visitor identifier, cookie ID, full referrer, IP address or user-agent string.

Basic technical information such as IP addresses may still appear in normal hosting and security logs. The public forms use an IP-based rate limiter to reduce automated abuse.

Why we use it

Where we rely on legitimate interests, we use only the information reasonably needed for that purpose and keep private contact details out of public listings unless you have deliberately supplied them as public business information.

Email consent

The Friday newsletter and optional bin reminders are separate services. Each signup requires its own email confirmation before the chosen emails begin. Requesting bin reminders does not activate the newsletter, and joining the newsletter does not activate bin reminders. Each service can be turned off independently from the secure email-preferences link, with an explicit option to stop both. Bin reminders store an anonymous repeating collection cycle, not a postcode, address or property reference.

How long we keep information

• Unconfirmed newsletter and bin reminder requests expire after about 7 days. Expired preferences are inactive, and pending bin cycle details are cleared by regular cleanup.
• Confirmed consent for each email service is retained until that service is switched off or the address is removed on request. Turning off bins clears the stored anonymous cycle. Turning off the Friday newsletter does not change bin reminders.
• Bin reminder delivery logs become eligible for deletion 90 days after their most recent send attempt, once the collection date has passed. Eligible rows are removed by the next scheduled retention cleanup.
• Pending and rejected event submission records are normally removed after 90 days. Private contact details on approved events are scrubbed 90 days after the event has passed.
• Approved business listings may retain the private submitter contact while the listing remains active so ownership, corrections and removal requests can be handled. Rejected business records are removed after 12 months.
• Anonymous aggregate site-measurement totals are kept on a rolling basis for up to 400 days so year-on-year local usage can be compared.
• Normal server and mail logs may be retained separately by the hosting or email provider for security and operational purposes.

These periods are reviewed and information may be deleted earlier when it is no longer needed.

Who information is shared with

Drakelow Hub does not sell personal information. Information may be processed by services needed to run the site, such as the web host and email delivery infrastructure. When you use the bin lookup, the postcode and selected property reference are sent to South Derbyshire District Council's iShare service so it can return the collection schedule. Drakelow Hub does not keep those lookup details. Information may also be disclosed where required by law or where necessary to protect the security of the service.

Public event and business information is, by design, published on the website after moderation. Private submission contact emails are not displayed as part of an event listing.

Third-party services and external content

The site loads some resources from third parties, including Google Fonts and OpenStreetMap map tiles. When your browser requests those resources, the provider receives normal connection information such as your IP address and browser details. Links to organisers, businesses, transport providers and other websites take you to services with their own privacy practices.

Drakelow Hub's own site measurement is first-party and aggregate only. It does not use Google Analytics or another third-party visitor analytics service.

Your rights

Depending on the circumstances, UK data protection law gives you rights over your personal information, including access, correction, erasure, restriction, objection and data portability. Where processing is based on consent, you can withdraw that consent at any time without affecting earlier lawful processing.

Changes to this notice

This page will be updated when the site starts collecting information in a materially different way or when the legal position changes.
